DESCRIPTION:
The Midwest Horse Fair offers several elite packages for our attendees, which include catered food and drink, located upstairs of Exhibition Hall. As a volunteer, you will greet guests during specific hours (Saturday Breakfast is 8:00 a.m. - 10:30 a.m. and/or Friday & Saturday VIP Receptions are 4:30 p.m. – 7:30 p.m). Attendants are responsible for keeping the VIP area accessible to only VIP Package ticket/badge holders, during scheduled event hours. You may be asked to assist with set up/take down of the receptions and various activities as assigned.
INSTRUCTIONS:
- Please arrive 15 minutes early, each day to check in with the Volunteer Coordinator who is located in the Welcome Center at the front of Pavilion Two. This will allow you a few minutes to ask any questions you may have, receive updates that need to be relayed to you, and arrive on time to your work location to relieve the person working the prior shift if applicable.
- After you have checked in, please report to the VIP Reception Coordinator for instructions.
- For those interested in purchasing snacks or meals, there is a Food Court located between the Coliseum and Tribute Arena, as well as food vendors in Exhibition Hall, Coliseum, and front of the Pavilions.
- We recommend that you store personal items in your vehicle, as there are no secured areas to store your valuables (purse, backpack, purchases etc.).
DUTIES:
- Please be courteous and friendly. Remember that you are representing Midwest Horse Fair. We are grateful for the help of our volunteers, and we depend on your good attitude and kind demeanor to make the weekend a success
- Please dress appropriately for the weather as you may be near an open door. Closed-toe shoes are required.
- Each shift will last 3 hours. In exchange for working three 3-hour shifts throughout the weekend, volunteers can earn a free 3-day wristband (value $55)
- Stay alert at all times and pay attention to your surroundings in case a problem arises and action is required.
- We politely ask that you limit cell phone usage during your shift
- You will be responsible for checking wristbands, badges, tickets and allowing access to only special package holders to the second floor VIP lounge area.
- Ensure that all ticket holders have the appropriately colored wristband and VIP badge.
- No one is allowed to enter the lounge area without the wristband (except a clinician, and they will have an Midwest Horse Fair name badge). If you cannot see their wristband and badge and/or ticket, ask to see it.
- If they do not have a wristband, or have the wrong color, you must not let them enter the area.
- Politely direct them to the VIP Reception Coordinator
- Answer questions that any guests may have. If you cannot answer, direct their questions to the VIP Reception Coordinator
- Hand out gift bags to attendees (if applicable)
- Help ensure that the VIP guests have an enjoyable experience. Be willing to help out where needed or when problems arise
- Please do not leave without consulting the VIP Reception Coordinator
- Additional duties may be assigned as needed
- Please be advised that assigned jobs may change as needed at any time per discretion of Midwest Horse Fair
